This notice explains what personal information Allmytech Ltd collects when you use allmytech.co.uk, book a call with us or email us, what we do with it, and your rights. We've tried to keep it short and in plain English. If anything is unclear, email us at info@allmytech.co.uk.
1. Who we are
Allmytech Ltd (trading as AllMyTech) is the controller of the personal information described in this notice. That means we decide how and why it's used, and we're responsible for looking after it.
- Company: Allmytech Ltd, registered in England and Wales, company no. 15177854
- Registered office: C/O Accrue Accounting, Unit E4 Arena Business Centre, Holyrood Close, Poole BH17 7FP
- Based in: Camberley, Surrey
- Email: info@allmytech.co.uk
We're a small business, so we haven't appointed a Data Protection Officer. For any privacy question, contact us at info@allmytech.co.uk.
2. What we collect and where it comes from
When you book a call through Calendly
Our booking calendar is provided by Calendly. When you book, you give us:
- your name and email address;
- the date and time you choose, and your time zone;
- your answers to our booking questions: anything you'd like to share to help us prepare, your biggest cyber security concern, and what you'd like to improve;
- anything you choose to write in the booking notes.
Calendly sends us the booking details by email and adds the appointment to our calendar. Calls are held on Microsoft Teams, so if you join, Microsoft will process your name, email address and the technical details needed to connect the call.
When you email us
If you email info@allmytech.co.uk, we receive your email address, your name if you include it, and whatever you put in the email and any attachments.
When you visit the website
Like almost every website, our web server automatically records basic technical information when you visit: your IP address, browser and device type, the pages you request, the date and time, and the referring page. Our hosting provider also runs automated checks to block malicious bots, which look at technical features of your browser.
If someone tries to log in to the website's admin area, we record the IP address and username used for failed login attempts, to block break-in attempts.
What we don't collect
- We don't run website analytics on our own pages, and our pages don't set any cookies of their own (see section 9).
- We don't have contact forms, comment forms or newsletter sign-ups on the site.
- We don't ask for sensitive information (such as health, ethnicity or religious beliefs). Please don't include it in booking notes or emails.
3. Why we use it and our lawful basis
Under UK data protection law we need a lawful basis for each use of your information.
| What we do | Why | Lawful basis |
|---|---|---|
| Arrange and hold the call you booked, and follow up afterwards | To answer your enquiry and discuss whether we can help | Steps you've asked us to take before entering into a contract. Where you contact us on behalf of an organisation, our legitimate interests in responding to business enquiries |
| Reply to your emails | To answer your questions | Our legitimate interests in responding to people who contact us |
| Keep web server and login security logs | To keep the website secure, prevent abuse and fix problems | Our legitimate interests in running a secure website |
| Load fonts so pages display properly | To show the website as designed | Our legitimate interests in presenting the website properly |
| Non-essential cookies and similar technologies (if any are used, see section 9) | Set by third parties for their own analytics, marketing or fraud prevention | Your consent |
| If you become a client, keep business and accounting records | To meet our legal obligations | Legal obligation |
Where we rely on legitimate interests, we've considered your interests and think this use is what you'd reasonably expect. You can object at any time (see section 7).
We don't add you to a marketing list or send you newsletters unless you ask us to. We don't sell your information, and we don't make decisions about you by purely automated means.
4. Who we share it with
We only share your information with the service providers who help us run the business, acting on our instructions as processors, or where the law requires it.
- Calendly LLC (USA): booking calendar. Calendly stores your booking details on our behalf. It's certified under the UK Extension to the EU-US Data Privacy Framework, which the UK recognises as giving adequate protection. Its data processing terms also include the UK International Data Transfer Addendum as a backup safeguard. When you open our booking page on Calendly, Calendly and its own partners may also collect technical information and set cookies under Calendly's privacy notice: https://calendly.com/privacy.
- 123 Reg: website hosting. Our website and its server logs are hosted by 123 Reg, on servers in the European Economic Area (EEA), which the UK recognises as providing adequate protection.
- Proton AG (Switzerland): email. Our email runs on Proton Mail. Switzerland is recognised by the UK as providing adequate protection.
- Google: web fonts. Our pages load the Inter and Poppins fonts from Google's servers (fonts.googleapis.com and fonts.gstatic.com), so your browser sends your IP address to Google when you visit.
- Microsoft: video calls. Our calls are held on Microsoft Teams. Microsoft processes call participants' details under its own data protection terms.
- Professional advisers and authorities. Our accountants, if you become a client, and regulators, law enforcement or courts where the law requires it.
5. International transfers
Some of our providers are based outside the UK (Calendly in the USA, Proton in Switzerland, and our website hosting in the EEA). Where that's the case, we make sure your information is protected through UK adequacy regulations, or by contract terms approved under UK law, such as the UK International Data Transfer Addendum.
6. How long we keep it
We keep your information only for as long as we need it:
- Booking details: 12 months after the call, unless you become a client.
- Emails with people who don't become clients: 12 months after our last contact.
- Client records: 6 years after the end of the engagement, to meet tax and legal requirements.
- Web server logs: kept for a short period by our hosting provider, then deleted automatically.
- Login security logs: 30 days.
After that, we delete or anonymise it.
7. Your rights
Under UK data protection law you have the right to:
- access: ask for a copy of the personal information we hold about you;
- rectification: ask us to correct information that's wrong or incomplete;
- erasure: ask us to delete your information;
- restriction: ask us to limit how we use your information;
- object: object to us using your information on the basis of legitimate interests;
- data portability: ask for information you gave us in a reusable format, where we use it on the basis of a contract or your consent;
- withdraw consent: withdraw consent at any time, where we rely on it. This doesn't affect anything we did before you withdrew.
Some of these rights only apply in certain circumstances. To use any of them, email info@allmytech.co.uk. There's normally no charge. We'll reply within one month, and we may ask you to confirm your identity first.
8. How to complain
If you're unhappy with how we've handled your information, please tell us first at info@allmytech.co.uk and we'll try to put it right.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:
- Website: https://ico.org.uk/make-a-complaint/
- Phone: 0303 123 1113
- Post: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF
9. Cookies
Cookies are small files that a website stores on your device. Similar technologies include tracking pixels and scripts.
Our own pages don't set any cookies, and we don't use analytics or advertising tools on them.
Our booking page is provided by Calendly. Nothing from Calendly loads on our own website. It only loads if you click "Book a 30-minute call", which opens Calendly's site in a new tab. Calendly and services it uses may then set cookies or use similar technologies, including security cookies from Cloudflare, a fraud-prevention cookie from Stripe, and tools that can be used for analytics and marketing. Calendly controls these, not us. See https://calendly.com/privacy.
You can block or delete cookies in your browser settings. If you do, Calendly's booking page may not work. You can still book a call by emailing info@allmytech.co.uk.
10. Changes to this notice
We'll update this notice if we change how we use personal information. The date at the top shows when it was last changed.
